Objective. Students load a project budget into Procore's Budget tool, enter a subcontractor commitment, process a change event and potential change order, and produce a cost report showing budget versus actual variance.
This lesson, its worked examples and its practice questions has not yet been verified by a credentialed professional in the field or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.
VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.
A construction project budget is a living document. From the moment a contract is signed, costs shift: subcontractors submit invoices, owners request additions, field conditions change. Your job as a construction manager is to know—at any moment—where money is going, how much remains, and what the final cost is likely to be. Procore's Budget tool centralizes this information so every stakeholder works from the same numbers.
CMAA's Construction Manager-in-Training (CMIT) exam tests candidates on cost management concepts including budget control, change management, and owner reporting. The workflow you practice in this lab maps directly to those competencies.
Procore organizes project finances around a cost code structure. Each line in the budget corresponds to a scope item (for example, concrete formwork or electrical rough-in) identified by a cost code. The budget view can display several columns simultaneously:
Understanding these columns lets you answer the owner's most important question: Are we on budget?
Procore accepts budget imports through a comma-separated values (CSV) file. The import file must match Procore's required column headers exactly (cost code, description, budget amount). Before importing:
1. Open the project in the Procore Training Sandbox.
2. Navigate to Financials → Budget.
3. Select Import and upload the instructor-prepared CSV.
4. Review the preview screen—Procore highlights rows with unrecognized cost codes in red.
5. Confirm the import and verify that the sum of all line items equals the contract sum. The budget must balance to zero tolerance. An unbalanced budget produces misleading variance figures downstream and must be corrected before work continues.
This zero-tolerance rule is not arbitrary. An unbalanced budget is the financial equivalent of an unsecured load on a job site—it creates hidden risk.
Once the budget is loaded, commitments track what you have contractually obligated. To enter a subcontract:
1. Navigate to Financials → Commitments → Subcontracts.
2. Create a new subcontract, assign it to the correct vendor, and link it to the appropriate cost code.
3. Enter the subcontract value and save.
Procore immediately reflects the commitment in the Budget tool under the Commitments column. If the commitment value exceeds the budgeted amount for that line, the variance column turns red—an early warning flag.
Scope changes follow a defined path in Procore. Skipping steps breaks the audit trail that owners, lenders, and auditors rely on.
Step 1 – Change Event: A change event records that something has happened that may affect cost or schedule. Create the event, describe the scope change, and link it to the affected budget line item. This is your earliest cost-impact record.
Step 2 – Potential Change Order (PCO) to Subcontractor: If the change requires additional subcontractor work, generate a PCO from the change event. The PCO captures the subcontractor's pricing before approval.
Step 3 – Owner Change Order (CO): Once the owner approves the additional cost, record the owner CO. Procore moves the approved amount into the Approved Changes column, raising the Revised Budget accordingly.
This three-step path—Change Event → PCO → Owner CO—creates a traceable record that protects all parties. CMAA CMIT exam questions frequently test whether candidates understand why each step exists and what happens if one is skipped.
Variance percentage is calculated as:
Variance % = ((Revised Budget − Projected Cost) ÷ Revised Budget) × 100
A positive result means you are under budget on that line; a negative result means you are over. Export the budget snapshot from Procore (CSV or PDF), then open it in Excel or Google Sheets to calculate variance on flagged line items.
When writing a cost narrative for an owner progress report, be direct and factual. Example: "The electrical rough-in line is currently 4.2% over the revised budget due to the owner-directed addition of circuits in Building B; a change order for this scope is in process." Two sentences, no jargon, no hedging.
This lab takes place entirely in the Procore Training Sandbox—never enter data into a live project account. Treat login credentials as you would a physical key to a job site; do not share them. Data integrity in a project management system is a professional and legal obligation: inaccurate budget records can constitute misrepresentation to an owner or lender. Always log out of the sandbox when you step away from your workstation.
NCCER Project Management modules emphasize cost control and documentation practices that mirror this workflow. OSHA 30 training reinforces that management decisions—including financial ones—must never create pressure to cut corners on safety. The CMAA CMIT exam tests cost management directly; mastering Procore's budget and change management tools gives you both the concept and the hands-on proof employers want to see.
Answer each question, then check it. Nothing is recorded; this is your own practice.

Does the school offer financial aid?
No. We don’t offer financial aid because we’re free. No, really: completely free.
Do you offer industry certification?
No. We are not certified yet, so we can’t offer that to students. What we do offer is knowledge and understanding of a trade.
Enroll first in the trade you’re interested in. You get your key, your program opens, and you begin studying.
