Reflective Practice and Externship Closeout
Objective. Students compile and submit a complete Externship Field Log with reflective journal entries, receive the Final Employer Evaluation, and conduct a structured self-assessment mapped to CDA Competency Standards.
⚠ Pending professional review
This lesson, its worked examples and its practice questions has not yet been verified by a licensed professional in the field or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.
VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.
Reflective Practice and Externship Closeout
You have spent weeks in a real child care setting, working alongside professionals, supporting children's development, and putting classroom knowledge into practice. This final lesson guides you through closing out your externship in a way that is organized, honest, and professionally meaningful. Three tasks stand between you and a passing externship: submitting your completed Externship Field Log binder, writing a Reflective Self-Assessment, and participating in an exit conference. All three must meet minimum standards.
Why Reflective Practice Matters
Reflective practice means deliberately thinking about what happened, why it happened, and what you would do differently next time. In child care, this habit is not optional — it is how good caregivers become great ones. The Council for Professional Recognition builds reflection into the CDA process because children's safety and well-being depend on practitioners who examine their own behavior, recognize bias, and keep improving. Making reflection a closing ritual of every placement helps you carry this discipline into your career.
Compiling the Externship Field Log Binder
Your Field Log binder is the legal and academic record of your placement. Before you submit it, check every section:
- Daily entries — Every day you worked must have a dated entry describing what you did, which age group you served, and any notable observations about child development or classroom management.
- Hour totals — Add your hours carefully. The program requires a minimum of 162 verified hours. Each page must carry your site supervisor's initials confirming accuracy. If you find a missing initial, contact your supervisor before the submission deadline.
- Activity Planning Sheets — Any structured activity you led must have a planning sheet that includes the developmental goal, materials used, and a brief outcome note.
- Incident reports — If any injury, illness, or behavioral incident required documentation during your placement, a copy of the completed report must be filed in the binder. Omitting an incident report is a serious professional and legal concern; child care licensing boards may review such records.
Organize the binder in the order specified by your instructor, use tabbed dividers, and do a final page count before you hand it in.
Writing the Reflective Self-Assessment
The Reflective Self-Assessment is a minimum two-page written document in which you evaluate your own growth across all six CDA Competency Standard areas:
1. Safe — maintaining safe environments
2. Healthy — maintaining healthy environments
3. Learning environment — establishing and maintaining learning environments
4. Children — advancing children's physical and intellectual development
5. Children — supporting children's social and emotional development
6. Families and community — building productive relationships with families and connecting with community resources
For each area, name at least one specific experience from your externship as evidence of your growth. Vague statements such as "I learned a lot about safety" will not earn full credit. Instead, describe a concrete moment — for example, how you reorganized a classroom's exit path after a fire-drill debrief, or how you adapted a language activity for a child with a speech delay.
You must also identify two areas for continued professional development — skills or knowledge you still want to strengthen — and briefly explain why. Honest self-assessment is a professional strength, not a weakness.
Your Self-Assessment is scored on the program rubric; you need 70% or higher to pass.
The Exit Conference
The 20-minute exit conference brings together you, your site supervisor, and your program instructor (in person or by video). Its purposes are:
- Review the Final Employer Evaluation — Your supervisor has rated your performance using the program's standardized form, scored on a 1–5 scale. You need an average of 3 out of 5 or higher to pass. Read each score before the conference so you can ask informed questions.
- Discuss feedback — Low scores in any area deserve a conversation, not defensiveness. Ask what specific behavior the supervisor observed and how you could improve it. This feedback is a professional gift.
- Confirm hours — The instructor will verify that your documented hours meet both program requirements and CDA eligibility requirements. Discrepancies must be resolved at this meeting.
Dress professionally for the conference, even if it is held by video. Arrive with your binder and a copy of your Self-Assessment.
Safety Reminders for Closeout
Even at the end of placement, child safety remains your first obligation. When you return or hand off any materials related to individual children — observation notes, incident reports, photos — follow your site's confidentiality policy. Do not share children's names or images on social media or in your Self-Assessment without written family consent, as required by federal and state privacy expectations governing child care settings. Return all site-issued identification badges, keys, or access cards on your final day.
What Comes Next
Passing your externship closeout moves you toward CDA eligibility. The Council for Professional Recognition requires a combination of education, verified professional experience hours, and a Professional Portfolio. Your Field Log and employer evaluation are key supporting documents. Completing this closeout professionally — on time, thoroughly, and honestly — demonstrates exactly the competence and accountability that employers and licensing boards expect of a credentialed child care provider.
Key terms9
Reflective PracticeThe habit of deliberately reviewing one's own actions and decisions in order to improve professional performance over time.
CDA Competency StandardsThe six areas of knowledge and skill defined by the Council for Professional Recognition that a Child Development Associate must demonstrate: safe, healthy, learning environment, physical and intellectual development, social and emotional development, and families and community.
Externship Field LogThe official binder documenting a student's daily activities, verified hours, activity planning sheets, and any incident reports completed during the worksite placement.
Final Employer EvaluationA standardized form completed by the site supervisor rating the student's performance across professional and child-care competency areas on a numerical scale.
Exit ConferenceA structured meeting at the end of the externship among the student, site supervisor, and program instructor to review evaluation scores, discuss feedback, and confirm hours.
Supervisor InitialsThe site supervisor's handwritten mark on each page of the Field Log confirming that the hours and entries recorded are accurate.
Incident ReportA formal written record of any injury, illness, or significant behavioral event involving a child that occurred during the placement; required documentation for licensing and liability purposes.
ConfidentialityThe professional and legal obligation to protect identifying information about children and families, including names, images, and personal circumstances, from unauthorized disclosure.
Professional PortfolioA collection of documents assembled for the CDA credentialing process that demonstrates a candidate's competence, education, and professional experience.
In class: Compile the Externship Field Log binder — verifying that all daily entries are complete, hours are totaled and initialed by the supervisor, Activity Planning Sheets are included, and the incident report (if applicable) is filed — then submit the completed binder to the program instructor. · Complete a written Reflective Self-Assessment (minimum two pages) in which the student evaluates growth in each of the six CDA Competency Standards areas, citing specific experiences from the externship as evidence and identifying two areas for continued professional development. · Participate in a 20-minute exit conference with the site supervisor and (by video or in person) the program instructor to review the Final Employer Evaluation scores, discuss feedback, and confirm that placement hours meet program and CDA eligibility requirements.
Materials: Completed Externship Field Log binder, Reflective Self-Assessment prompt sheet, Final Employer Evaluation form, CDA Competency Standards reference (Council for Professional Recognition), program hour-verification form, video conferencing platform (if remote)
Check: Instructor verifies that the Field Log totals at least 162 hours with supervisor initials on every page; the Reflective Self-Assessment must address all six CDA Competency Standards with specific examples and score 70% or higher on the program rubric; the Final Employer Evaluation must show an average of 3 out of 5 or higher — all three criteria must be met to pass the externship.
