Domain-by-Domain Review: QuickBooks Certified User and AIPB Certified Bookkeeper

Objective. Students demonstrate exam-level accuracy on every QuickBooks Certified User and AIPB Certified Bookkeeper domain by working through instructor-led review sessions, guided practice problems, and timed domain quizzes.

⚠ Pending professional review

This lesson, its worked examples and its practice questions has not yet been verified by a credentialed professional in the field or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.

VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.

Why Domain-by-Domain Review Works

Certification exams test specific, well-defined skill areas called domains. Studying by domain lets you identify exactly where your knowledge is strong and where it needs work, so you use your remaining study time efficiently. Today's lab covers every major domain for two credentials: the QuickBooks Certified User (QBCU) exam (delivered through Certiport) and the AIPB Certified Bookkeeper (CB) exam (administered by the American Institute of Professional Bookkeepers). Both credentials are portable and recognized by employers across industries, so passing them adds lasting value to your résumé.

QuickBooks Certified User: The Six Domains

The QBCU exam tests your ability to perform real bookkeeping tasks inside QuickBooks. Intuit and Certiport organize the exam around six functional areas. You need exam-level accuracy in all six.

1. Company File and List Management

This domain covers creating and configuring a company file, setting up the chart of accounts, and maintaining lists such as customers, vendors, items, and employees. Common tasks include adding and editing accounts, merging duplicate list entries, and setting preferences. Accuracy here is critical because errors in the chart of accounts flow into every report the company produces.

2. Banking and Reconciliation

You must be able to record deposits, write checks, record transfers, use the register, and reconcile a bank or credit card account to a statement. Reconciliation requires matching every cleared item so that the difference between the statement ending balance and the QuickBooks balance equals zero. A non-zero difference signals an unrecorded transaction or an entry error.

3. Sales, Customers, and Accounts Receivable

This domain tests the full customer workflow: creating invoices, recording customer payments, applying credits, issuing refunds, and running aging reports. Understanding the difference between an invoice (revenue earned but not yet collected) and a sales receipt (cash collected at the time of sale) is a frequent exam topic.

4. Purchases, Vendors, and Accounts Payable

The vendor workflow mirrors the customer workflow. You must enter purchase orders, post bills, pay bills using the Pay Bills window (not Write Checks, which bypasses A/P), apply vendor credits, and interpret the A/P aging summary. Using Write Checks to pay a bill already entered as a bill is a common error that doubles the expense.

5. Payroll Setup and Processing

This domain covers setting up payroll items, entering employee information, running payroll, and reviewing paycheck details. You are expected to understand how deductions reduce gross pay to net pay and how QuickBooks tracks payroll tax liabilities. You do not need to memorize current tax rates, but you do need to know where those liabilities appear on the balance sheet.

6. Reports and Financial Statements

QuickBooks can produce dozens of reports. Focus on the Profit & Loss, Balance Sheet, Statement of Cash Flows, A/R and A/P aging reports, and the Trial Balance. Know how to customize date ranges, filter by class or account, and memorize a report. Understanding which report answers which business question is tested directly.

AIPB Certified Bookkeeper: The Six Topic Areas

The AIPB CB exam is a two-part written test. It covers manual bookkeeping concepts that apply regardless of which software you use. Mastering these topics makes you a stronger QuickBooks user because you understand what the software is doing behind the screens.

Adjusting Entries

At period end, accruals and deferrals must be recorded before financial statements are prepared. Common adjustments include accrued wages, prepaid expense amortization, depreciation, and unearned revenue recognition.

Error Correction

The CB exam tests your ability to locate and correct bookkeeping errors using a trial balance and supporting schedules. Errors include transpositions, slides, and posting to the wrong account.

Payroll Journal Entries

You must record gross wages, employee tax withholdings, employer payroll tax expense, and net pay. Each payroll run produces multiple debits and credits that must balance.

Depreciation

The two methods tested most often are straight-line and declining-balance. Straight-line spreads cost evenly over useful life. Declining-balance applies a fixed percentage to the book value each year, producing higher depreciation in early years.

Inventory Costing

FIFO (first-in, first-out), LIFO (last-in, first-out), and weighted-average produce different cost-of-goods-sold and ending inventory values from the same physical goods. Exam problems provide unit costs and quantities and ask you to calculate all three.

Internal Control Principles

Internal controls protect assets and ensure accurate records. Key principles include separation of duties, authorization requirements, physical safeguards, and reconciliation. Exam questions describe a business situation and ask you to identify the control weakness or recommend the correct control.

How to Use the Domain Quizzes and Remediation

After each QuickBooks review block, you will take a 10-question timed domain quiz. The passing mark is 80% (8 out of 10). If you score below 80%, your instructor will assign a 30-minute remediation activity matched to your specific errors. You then retake an alternate-form quiz. Both the original score, the remediation activity, and the retake score are recorded in your Exam Readiness Tracker. Every domain must be green (80% or above) before you schedule the live certification exam.

For AIPB topic sets, you complete end-of-chapter problems, then swap papers with a classmate and grade against the answer key. Peer grading sharpens your ability to spot errors — the same skill tested on the CB exam itself.

Workspace and Data Safety

Always work in the sample company file provided for practice, never in a live client or school accounting file. Before closing any session, save your work and log out of QuickBooks to protect student license credentials. Keep your Certiport login credentials private; sharing them violates the testing platform's terms of use and can result in credential revocation.

Key terms10

DomainA defined subject area on a certification exam; QBCU and AIPB CB exams are each organized into domains or topic areas that together cover the full scope of the credential.
Chart of AccountsThe complete, numbered list of every account a company uses to record financial transactions; it is the backbone of both QuickBooks and manual bookkeeping systems.
Bank ReconciliationThe process of comparing and matching a company's accounting records to the bank statement so that both show the same adjusted balance, identifying any unrecorded or erroneous transactions.
Adjusting EntryA journal entry made at the end of an accounting period to record revenues earned or expenses incurred that have not yet been entered through routine transactions.
Straight-Line DepreciationA depreciation method that allocates an equal amount of an asset's depreciable cost to each year of its estimated useful life.
Declining-Balance DepreciationAn accelerated depreciation method that applies a fixed percentage rate to the asset's remaining book value each period, resulting in higher depreciation expense in earlier years.
FIFOFirst-In, First-Out: an inventory costing assumption that the oldest units purchased are the first units sold, so ending inventory reflects the most recent purchase costs.
Internal ControlPolicies and procedures a business uses to protect assets, prevent fraud, and ensure that financial records are accurate and reliable; separation of duties is a foundational principle.
Exam Readiness TrackerAn instructor-maintained log that records each student's score on every domain quiz and AIPB topic set, remediation activities completed, and retake results; all domains must be green before a student sits for the live exam.
Accounts Payable (A/P) Aging ReportA QuickBooks report that lists unpaid vendor bills organized by how long they have been outstanding, helping a business manage cash flow and avoid late payments.

Worked examples4

1. Straight-line depreciation: A company purchases office equipment for $12,500. The equipment has a salvage value of $500 and a useful life of 4 years. Calculate the annual depreciation expense and the book value at the end of Year 2.
  1. Step 1 — Find the depreciable cost: Cost minus salvage value = $12,500 − $500 = $12,000.
  2. Step 2 — Divide by useful life to get annual depreciation: $12,000 ÷ 4 years = $3,000 per year.
  3. Step 3 — Accumulated depreciation after Year 2: $3,000 × 2 = $6,000.
  4. Step 4 — Book value at end of Year 2: $12,500 − $6,000 = $6,500.
Answer: Annual depreciation expense = $3,000; Book value at end of Year 2 = $6,500.
2. FIFO inventory costing: A shop had the following purchases of the same item during the month: 10 units at $4.00 each, then 15 units at $5.00 each. During the month, 18 units were sold. Calculate cost of goods sold (COGS) and ending inventory value using FIFO.
  1. Step 1 — Under FIFO, the first units purchased are the first units sold. The first 10 units sold come from the $4.00 batch: 10 × $4.00 = $40.00.
  2. Step 2 — The remaining 8 units sold come from the $5.00 batch: 8 × $5.00 = $40.00.
  3. Step 3 — Total COGS = $40.00 + $40.00 = $80.00.
  4. Step 4 — Ending inventory: 25 total units purchased − 18 units sold = 7 units remaining, all from the $5.00 batch: 7 × $5.00 = $35.00.
Answer: COGS under FIFO = $80.00; Ending inventory = $35.00.
3. Payroll journal entry: An employee's gross wages for the week are $1,200. Federal income tax withheld is $180, Social Security withheld is $74.40 (6.2% of gross), and Medicare withheld is $17.40 (1.45% of gross). Record the journal entry to recognize wages expense and the related withholding liabilities.
  1. Step 1 — Identify the debit: Wages Expense is debited for the full gross amount = $1,200.00.
  2. Step 2 — Identify the credits for amounts withheld from the employee: Federal Income Tax Payable = $180.00; Social Security Tax Payable (employee share) = $74.40; Medicare Tax Payable (employee share) = $17.40.
  3. Step 3 — Calculate net pay (the amount the employee actually receives): $1,200.00 − $180.00 − $74.40 − $17.40 = $928.20.
  4. Step 4 — Credit Wages Payable (or Cash if paid immediately) for net pay = $928.20.
  5. Step 5 — Verify the entry balances: Debit $1,200.00 = Credits $180.00 + $74.40 + $17.40 + $928.20 = $1,200.00. ✓
Answer: Debit Wages Expense $1,200.00; Credit Federal Income Tax Payable $180.00, Social Security Tax Payable $74.40, Medicare Tax Payable $17.40, Wages Payable $928.20.
4. Bank reconciliation — adjusted book balance: The QuickBooks cash register shows a balance of $4,350.00. During reconciliation you find: a bank service charge of $25.00 not yet recorded in QuickBooks, and interest earned of $10.00 not yet recorded in QuickBooks. Calculate the adjusted book balance.
  1. Step 1 — Start with the QuickBooks (book) balance: $4,350.00.
  2. Step 2 — Subtract the bank service charge that must be added to the books as an expense: $4,350.00 − $25.00 = $4,325.00.
  3. Step 3 — Add the interest earned that must be recorded as income in the books: $4,325.00 + $10.00 = $4,335.00.
  4. Step 4 — The adjusted book balance is $4,335.00. This is the figure that must match the adjusted bank statement balance for the reconciliation to be complete.
Answer: Adjusted book balance = $4,335.00.
