Integrated Simulation: Full-Cycle Client Engagement

Objective. Students will independently complete a timed, full-cycle bookkeeping simulation—from company setup through financial reports—for a fictional client, achieving 85% accuracy on an instructor scoring rubric.

⚠ Pending professional review

This lesson, its worked examples and its practice questions has not yet been verified by a credentialed professional in the field or by a certification or approval body. It is a study draft and may contain errors. Do not use it as instructions for work on a job site or on live equipment. Always follow your instructor, your supervising professional, and current official references and regulations.

VoTechWorks program approval and accreditation are still in progress. Credentials are issued only by the certifying bodies named in each program, after their own exams.

What This Simulation Tests

This lab brings together every skill you have practiced in this course. You will work through a complete bookkeeping cycle for a fictional client—from creating the company file to delivering polished financial reports—under timed, exam-like conditions. The goal is 85 out of 100 points on the instructor rubric. Think of this session as a dress rehearsal for the QuickBooks Certified User exam and, more importantly, for your first day on the job.

Why Full-Cycle Practice Matters

Real clients do not hand you one task at a time. They hand you a box of receipts and a deadline. Employers who hire QuickBooks-proficient bookkeepers expect you to move through setup, data entry, reconciliation, and reporting without stopping to ask basic questions. Practicing the entire cycle in one session builds the muscle memory and decision-making speed that isolated exercises cannot.

Stage 1: Company Setup

Before entering a single transaction, configure the company file correctly. Mistakes made here ripple through every report.

Stage 2: Transaction Entry

Work through the source documents in chronological order. Matching the document date in QBO ensures the bank reconciliation and aging reports will be accurate.

| Document Type | QBO Transaction Form |

|---|---|

| Sales invoice | Invoice (Accounts Receivable) |

| Customer payment received | Receive Payment, then deposit |

| Vendor bill | Bill (Accounts Payable) |

| Bill payment | Pay Bills |

| Bank deposit (non-AR) | Bank Deposit |

| Payroll run | Run Payroll or journal entry per packet instructions |

| Adjusting entries | Journal Entry |

Check each source document against the on-screen form before saving. Common entry errors include transposed numbers, wrong account codes, and wrong dates—all of which cost points on the rubric.

Stage 3: Bank Reconciliation

Open Accounting → Reconcile, select the checking account, and enter the statement ending date and ending balance from the provided bank statement. Match every cleared item to its QBO transaction. A reconciliation is complete only when the Difference field shows $0.00. If it does not:

1. Recheck transaction amounts against source documents.

2. Look for duplicate entries.

3. Verify that outstanding checks and deposits in transit are not marked as cleared.

Do not force a reconciliation by adjusting the opening balance. An artificial adjustment will appear on the Balance Sheet and cost points.

Stage 4: Financial Reports

Run each required report for the simulation period only. Use Custom date range to avoid including prior or future periods.

Export each report to PDF or Excel as instructed. Label files with the report name and date range before submitting.

Stage 5: Self-Review

Before submitting, work through the provided self-review checklist line by line. The checklist mirrors the instructor rubric. Common items to verify:

Correct any errors you find. You are allowed to make corrections during the self-review window; this is not a closed-book exam—it is a skills demonstration.

Data Integrity and Professional Responsibility

The simulation uses fictional client data, but treat it as you would real client information. Do not share the QBO login or file with anyone outside this class. In practice, bookkeepers have a professional and often contractual obligation to keep client financial data confidential. Unauthorized disclosure can expose both the bookkeeper and the employer to legal liability.

Workstation Safety

This is a computer-based lab. Apply standard workstation ergonomics: adjust chair height so your elbows are at approximately 90 degrees, position the monitor at arm's length, and take a short break if you experience eye strain. Save your QBO file frequently—data loss due to a browser timeout will not earn an extension. Use only your assigned QBO trial account; logging into another student's account is a data-integrity violation.

Scoring Overview

The 100-point rubric awards points across four areas: company setup and chart of accounts, transaction accuracy, bank reconciliation, and financial reports. A score of 85 or higher earns a pass. If you score below 85, you will receive written feedback and an opportunity to repeat the simulation with a different packet.

Key terms10

Full-cycle bookkeepingThe complete sequence of bookkeeping tasks for a period: company setup, transaction entry, bank reconciliation, adjusting entries, and financial reporting.
Chart of accountsA numbered list of all accounts used to classify a company's financial transactions; the foundation of any QBO company file.
Bank reconciliationThe process of matching transactions in the accounting records to the bank statement so that the ending balance in QBO agrees with the statement balance, with identified outstanding items.
Accounts Receivable (A/R) AgingA report that groups unpaid customer invoices by how many days they have been outstanding, helping identify overdue balances.
Accounts Payable (A/P) AgingA report that groups unpaid vendor bills by how many days they have been outstanding, helping a business manage its payment obligations.
Adjusting entryA journal entry made at the end of a period to record items such as accrued expenses, prepaid expenses, or depreciation that are not captured by routine transactions.
Profit & Loss statementA financial report summarizing revenues and expenses over a specific period to show net income or net loss; also called an income statement.
Balance SheetA financial report showing a company's assets, liabilities, and equity at a specific point in time; must satisfy the equation Assets = Liabilities + Equity.
Outstanding itemA transaction recorded in the books but not yet cleared on the bank statement, such as an outstanding check or a deposit in transit.
Scoring rubricA structured grading guide that assigns specific point values to each graded element, allowing consistent, objective evaluation of student work.

Worked examples4

1. After entering all transactions, the QBO bank reconciliation screen shows an ending balance per bank of $14,250.00. The books show a balance of $13,975.00. You identify one outstanding check for $275.00 that has not cleared the bank. Does the reconciliation balance?
  1. Start with the bank statement ending balance: $14,250.00.
  2. Subtract the outstanding check that has not cleared the bank: $14,250.00 − $275.00 = $13,975.00.
  3. Compare the adjusted bank balance to the book balance: $13,975.00 = $13,975.00.
  4. The Difference equals $0.00, so the reconciliation is complete and correct.
Answer: Yes. The adjusted bank balance of $13,975.00 equals the book balance of $13,975.00, giving a $0.00 difference. The reconciliation is complete.
2. The simulation Profit & Loss shows total revenue of $22,400.00 and total expenses of $17,650.00. What is the net income for the period, and where does this figure appear on the Balance Sheet?
  1. Net income = Total Revenue − Total Expenses.
  2. Net income = $22,400.00 − $17,650.00 = $4,750.00.
  3. On the Balance Sheet, net income increases Retained Earnings (or Owner's Equity) by $4,750.00, keeping Assets = Liabilities + Equity in balance.
Answer: Net income is $4,750.00. It flows into the Equity section of the Balance Sheet as an increase to Retained Earnings.
3. You entered a vendor bill for $1,320.00 but the source document shows $1,230.00. You notice the error during self-review. By how much will correcting this error change total Accounts Payable, and in which direction?
  1. Identify the entered amount: $1,320.00.
  2. Identify the correct amount: $1,230.00.
  3. Calculate the difference: $1,320.00 − $1,230.00 = $90.00 overstatement.
  4. Correcting the bill reduces the bill amount by $90.00, so Accounts Payable decreases by $90.00.
Answer: Accounts Payable decreases by $90.00 after the correction, from the overstated amount to the correct amount.
4. The simulation requires recording one month of straight-line depreciation on office equipment. The equipment cost $6,000.00 and has a useful life of 5 years with no salvage value. What is the monthly depreciation adjusting entry amount?
  1. Annual depreciation = Cost ÷ Useful life = $6,000.00 ÷ 5 = $1,200.00 per year.
  2. Monthly depreciation = $1,200.00 ÷ 12 = $100.00 per month.
  3. Record a journal entry: Debit Depreciation Expense $100.00; Credit Accumulated Depreciation $100.00.
Answer: The monthly depreciation adjusting entry is $100.00: Debit Depreciation Expense $100.00, Credit Accumulated Depreciation $100.00.
In class: Receive the simulation packet (company profile, source documents for one month: 10 invoices, 8 bills, 4 deposits, 1 payroll run, adjusting entries); set up the company file and enter all transactions within the allotted session. · Perform bank reconciliation against the provided statement; run and export Profit & Loss, Balance Sheet, and A/R and A/P Aging reports. · Self-review using a provided checklist, correct any errors found, then submit the QBO file and reports to the instructor for scoring against the master answer key.
Materials: Blank QBO trial account, simulation packet (source documents), bank statement, self-review checklist, answer key (instructor copy only), timer
Check: Instructor scores all transactions, reconciliation, and reports against answer key on a 100-point rubric; pass = 85/100 points.
